Executive positions open  

ADBA Committee Secretary 

Join our team as the Auckland Dragon Boat Association Secretary and play a crucial role in supporting the smooth operations of our sport. As the secretary, you will be the administrative backbone, assisting in coordinating communications, managing records, and facilitating essential administrative functions. You attention to details, organisational skills and effective communication will contribute to the success of our association. 

Responsibilities: 

  • Provide administrative support to the association. 

  • Handle incoming and outgoing communications including email and official correspondence. 

  • Keep stakeholders informed about important updates and announcements. 

  • Maintain accurate records and files, including membership documents, policies, and official documents.  

  • Ensure documents are organised and accessible for reference in MS Teams. 

  • Schedule Committee meetings and AGMs, prepare meeting agendas, and distribute materials to attendees. 

  • Record accurate meeting minutes during meetings and distribute in a timely manner. 

  • Assist in managing membership records, including member communications. 

  • Manage coordinating committee logistics, including venue bookings, participant registrations.  

  • Ensure that the association operates in compliance with relevant regulations, bylaws, and policies.  

  • Assist in the preparation of necessary reports and documentation. 

  • Serve as a liaison between the regional and national boards, conveying information and assisting the cross-functional coordination.  

  • Manage incoming and outgoing official correspondence, ensuring accuracy and professionalism in all communications.  

The right person will have: 

  • Administration experience, preferably in an association or nonprofit setting, but not essential 

  • Strong organisation skills with a keen attention to details 

  • Excellent written and verbal communication skills 

  • Proficiency in Microsoft Office Suite (World, Excel, PowerPoint Teams) and other relevant software 

  • Ability to handle sensitive and confidential information with professionalism. 

  • Strong time management skills and the ability to prioritise tasks effectively. 

  • Collaborative mindset and the ability to work in a team-oriented environment.  

  • Familiarity with dragon boat culture and terminology is a plus. 

 

Committee positions open 

Safety Officer  

Approximately 1 hour per week, additional time spent around events. 

Are you passionate about safety and looking to make a meaningful impact in the dragon boat community? We’re seeking a Safety Officer (Safety Dragon) to play a vital role in ensuring the safety and wellbeing of our members during training and events. As the Safety Dragon, you will have the opportunity to contribute and ensure that all activities align with health and safety standards. This role offers a unique chance to build or enhance your experience in the Health and Safety field while working with a supportive committee and engagement with our vibrant dragon boat community.  

Responsibilities:

  • Review and refine the existing Safety Operating Procedure (SOP) to ensure the safety of all members and collaborate with the committee to implement necessary changes. 

  • Investigate, manage, and report on safety incidents reported through the website or email. Create comprehensive monthly reports for presentation at the ADBA committee meetings. 

  • Engage with the dragon boat community through social media platforms, dedicated safety email communication, and active participation in events. 

  • Collaborate with the Events Team to conduct health and safety assessments at event locations. Identify and mitigate potential hazards. Review and enhance health and safety management plans for each event.  

  • Create a protocol in collaboration with the ADBA committee that indicates when training and events should be cancelled or postponed due to weather events.  

  • Utilise weather apps and collaborate with the committee’s weather guru group chat to assess Auckland’s weather conditions.  

  • Generate relationships with other regions to facilitate the exchange of Health and Safety best practices. Share ideas and strategies to ensure the safety of paddlers across the dragon boat community. 

  • Coordinate support boat personnel for training sessions and events. Liaise with support boat driver, manage their schedules, and recruit new volunteers and paid drivers as needed.  

The perfect person will: 

  • Have a background in safety or a willingness to learn and apply knowledge in the dragon boat setting. 

  • Have excellent communication skills to interact effectively with committee members, paddlers, and the wider dragon boat community. 

  • Strong organisational skills to manage incident reports, safety procedures, and communication channels. 

  • Collaborative mindset, comfortable working with diverse groups and building relationships within the community. 

  • Attention to details and a proactive approach to identifying and addressing potential safety concerns. 

  • Ability to make informed decisions while collaborating with committee members. 

 

Equipment Administrator 

Approximately 1 hour per week, additional time spent around events. 

Join our team of dedicated Equipment Coordinators and play a vital role in ensuring the smooth operation and maintenance of our dragon boating assets. We are seeking two additional individuals to support this role on the Equipment Sub-committee (roles detailed below). If you’re a proactive problem solver with a passion for keeping things in order, we want you on our team. 

Responsibilities:

  • Maintain an accurate equipment inventory, tracking assets, their status, and locations. 

  • Manage and update Warrant of Fitness records for trailers and vehicles. 

  • Collaborate repairs by working with the committee, safety officer and community reports. 

  • Liaise with ADBA truck drivers and Hand Dragons to facilitate efficient equipment repairs. 

The right person will have:

  • Strong administrative skills with attention to details 

  • Organisational and coordination skills 

  • Effective communication skills for coordination with various teams 

  • Familiarity with equipment maintenance process is a plus, but not essential. 

 

Equipment and Events Sub-committees Volunteers positions open

ADBA drivers and towers (Equipment)

Approximately 5 hour per month, additional time spent around events. 

Join our team of dedicated Equipment Coordinators and play a vital role in ensuring the smooth operation and maintenance of our dragon boating assets. If you’re a proactive problem solver with a passion for keeping things in order, we want you on our team. 

Responsibilities:

  • Collaborate with the Equipment Administrator to arrange equipment drop offs and pickups. 

  • Safety Drive and tow trailers, ensuring equipment transportation as needed. 

  • Assist with boat movements for events, training, and long-distance paddles. 

The right person will: 

  • Have a valid driver’s licence and comfort with driving and towing trailers. 

  • Availability during the day and weekends for equipment logistics 

  • Strong communication skills 

 

Handy Dragons (Equipment)

Approximately 10 hours per month, additional time spent around events. 

Join our team of dedicated Equipment Coordinators and play a vital role in ensuring the smooth operation and maintenance of our dragon boating assets. If you’re a proactive problem solver with a passion for keeping things in order, we want you on our team. 

Responsibilities:

  • Collaborate with the Equipment Administrator to establish an inspection schedule for equipment safety checks. 

  • Conduct repairs on equipment using handyman/woman skills, addressing minor issues before involving external repairs. 

  • Seek and evaluate quotes from tradespeople for repair work. 

The right person will have: 

  • Handyman/women skills 

  • Ability to conduct equipment inspections and identify maintenance needs. 

  • Basic understanding of trade quotes and repair costs is advantageous.  

 

Vendor Liaison  (Events)

Approximately 6 hours for each event plus pack in/out of events 

Join our enthusiastic events team and play a pivotal role in supporting the Events Manager to create exceptional experiences for our members. The region has two main events including the Auckland Anniversary Regatta and the Regional Championships. If you’re proactive, passionate about improving our sport, and dedicated to enhancing member engagement, we want you to be a part of our dynamic team.  

Responsibilities:

  • Collaborate with Events Manager to communicate effectively with vendors (medals, marquees, food trucks for example ensuring the seamless execution of events. 

  • Contribute creative ideas to enhance event offerings and experiences. 

  • Coordinate quotations from vendors 

  • Help in event set up and pack downs to ensure smooth operations. 

  • Other jobs appointed by the Events Manager 

 

Events Liaison  (Events)

Approximately 10 hours for each event

The region has two main events including the Auckland Anniversary Regatta and the Regional Championships. If you’re proactive, passionate about improving our sport, and dedicated to enhancing member engagement, we want you to be a part of our dynamic team.  

Responsibilities:

  • Manage registrations on RevSport with support from the Events Manager 

  • Communicate with Team Managers, providing them with event information and handling registration. 

  • Assist coordinating participant registrations and ensuring accurate records. 

  • Coordinate with Race Draw creator  

  • Other jobs appointed by the Events Manager 

 

Corporate Liaison  (Events)

Approximately 10 hours for each event, plus event representation 

Join our enthusiastic events team and play a pivotal role in supporting the Events Manager to create exceptional experiences for our members. The region has two main events including the Auckland Anniversary Regatta and the Regional Championships. If you’re proactive, passionate about improving our sport, and dedicated to enhancing member engagement, we want you to be a part of our dynamic team.  

Responsibilities:

  • Compile a list of potential business leads focussed on team building and wellbeing for committee consideration. 

  • Act as the primary point of contact for interested corporate organisation and universities, assisting with their event registrations, safety waivers, and inquiries. 

  • Collaborate with Events Manager to determine suitable event dates within the calendar. 

  • Drive advertising efforts for corporate events in collaboration with the Events Manager through various publications 

  • Collaborate with the training manager to coordinate training slots for corporate teams and one-off teams. 

  • Contribute to the organisation of the Corporate Splash vent, including volunteer coordination, race draws and event logistics with hosting teams. 

  • Collect feedback from team managers and participants after events, promoting season engagement, sharing event footage and reporting insights to the events manager.

Nominations are necessary for the roles of:

  • ADBA Committee Secretary 
  • Safety Officer
  • Equipment Administrator

As per our Constitution, nominations should be written and delivered to the current ADBA Committee Secretary. The nomination form is available on the Document Hub. Nominations close at 5pm on Saturday, 9th September 2023. All nominations will be posted on the website before the AGM, as per the Constitution.
